The Intake Coordinator is responsible for assuring and documenting all inquiries, as well as providing the resources to satisfy the inquiry. The Intake Coordinator also facilitates the registration of incoming clients, as the intake coordinator is typically the first employee that the client meets. The intake coordinator is responsible for the financial intake for each client entering our organization. The intake coordinator ensures that all required new client and/or program information is collected and processed, and that all appointments are made with the therapist. Responsible for completing the initial assessment and starting the clients’ charts.

1. Assures all inquiry calls receive a response and are documented and creates reports.
2. Provides all needed resources to callers, referrals and families.
3. Creates, maintains, and distributes the roster.
4. Initiate contact to gather required clinical and demographic data from client and other sources.
5. Schedule Intakes and complete necessary paperwork (financial intake) and obtains all required paperwork (i.e., discharge summaries, peer evaluations, etc.
6. Review referrals and verify all information.
7. Work with Clinical Supervisor around case assignment
8. Develops, implements, and monitors all admission policies and procedures.
9. Supports all outreach efforts.
10. Creates, maintains, and ensures all conversion percentages are met or exceeded.
11. Scheduling appointments for consultations, tests, and procedures.

Qualifications

Qualifications: To perform this job successfully, individuals in this position should be able to work in a fast-paced environment and have the time-management and multitasking skills necessary to perform a variety of duties concurrently. Speaking with and collecting information from clients and referral sources requires strong interpersonal skills, and attention to detail. The intake coordinator should have a solid understanding of mental health and substance use disorder services. The ability to operate basic computer and proficiency in Microsoft office, Electronic Medical Records and internet.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
